Setting up IP Address Restrictions

Setting up IP Address restrictions is a way to prevent certain staff and volunteers from logging into Hospitality HouseKeeper from home or outside of the house.

Without IP Address authorization set up, anyone (with a username and password) can log in from anywhere.

Process Overview:

Adding IP restrictions is a two-part process.

Step 1 is setting up “good” networks.  These “good” networks would be the internet network or Wi-Fi at your house.

Step 2 is deciding who you want to restrict.  Your house managers may occasionally work from home—perhaps they shouldn’t be restricted.  But maybe your front desk staff or volunteers should only have access to HHK at the house.

From the Administration Site (also called the Green side), in the upper right corner, select DB Maintenance.

This feature is a bit trickier than others, and you may need some help to get it set up properly.  We have additional instructions we can send over, and are always available for extra help.

New Feature Spotlight #2

Ribbon Notes

Clients have asked about a quick way to see a small important note for a guest and we came up with Ribbon Notes.

2 visit ribbons on the calendar with last names and added notes written on each ribbon.

These can be added to any Visit or Reservation.

For Reservations, you’ll find the Ribbon Note field in the Registration Box.

For Visits, you’ll find the field under the Adjust Fees button.

Reservation Ribbon Notes do transfer over to Visits, so when you no longer need the note simply go back to the Ribbon Note field and delete it.

  • Online Referrals* – We are getting really close to completing Stage 1 of this project, and hope to roll it out to the sponsor house this month.  We know a lot of you are interested in adding this AWESOME new feature to your house, so please let Beth know if you want to be added to the waiting list.  Unlike other features, this one will take some collaboration to set up, so we intend to roll this out one client at a time.  *Client-Sponsored Project
  • Weekend Leave – Weekend Leave has needed improvements for a while now, and over the years we’ve collected several suggestions from clients.  Those finally reached critical mass, and we’re starting to update the feature.  If you have suggestions, please contribute–we want the feature to be useful for all of you.
