Happy almost-spring everyone!  It’s been a while since our last newsletter, but we couldn’t wait any longer to tell you about our latest feature. (To be honest, you may have heard already.  We’ve been shouting it from the rooftops.)

Sending texts from Hospitality HouseKeeper

We are very excited to announce that we have partnered with SimpleTexting to provide SMS communications directly from Hospitality HouseKeeper!

SimpleTexting is already used at one of our houses, and came highly recommended.  For a reasonable flat rate each month, you will receive a certain number of credits you can use to send text messages. For their basic plan, you can send 250-500 texts per month, depending on the length of the text.

From Hospitality HouseKeeper, staff will be able to send a text to all current guests, text all guests in a Reservation or Visit (as in the image below), or text individuals.

In Hospitality HouseKeeper, guests can express their preference for receiving texts, so you’ll only ever text guests who have agreed to receive them.

Security Corner

As always, we work to keep your data safe.

But there are things you can set up or do for your users, too.

  • Two-Factor Authentication, either via an emailed code or an authenticator app.
  • Regular review of your list of Web Users, to ensure former staff or volunteers no longer have access.
  • Restrictions on what parts of the site users can access–front desk volunteers may not need access to payment reports, for example.
  • Restrictions on where users can access the site–most staff may not need access to HHK when they’re away from the house.
Together, we can create best practices and ensure your guests’ information is as safe as possible.

Coming Soon

  • Invoices to PDF – When emailing out invoices (to a 3rd party, for example), the invoice itself was in the body of the email.  Invoices will soon be attached to the email as a pdf, looking more professional and easier for the recipient to print and process.
  • Ribbon colors based on Visit Status – Several houses have asked us over the years if we could use the ribbon colors on the Calendar to show Visit Status (Waitlist, Checked In, Checked Out, etc). We are hoping to add this in the next build.
