Hospitality HouseKeeper – version 3.23

This release contains many new features resulting from our client-driven development processes.

What’s New

The big things:

  1. The Calendar visit ribbons can now be colored by Visit Status. If set up this way, users can define different colors for visits that are checked out, checked in, set to check in today, and a few other statuses.
  2. In the People Report, there is now a Deceased column, which corresponds to the Deceased checkbox and date field in Guest Edit. Now, when compiling mailings, users can easily see which patients or guests are deceased.
  3. 3rd-party invoices are now sent as attached PDF’s to emails, instead of showing up in the body of an email. You can also now compose the email you’d like to send with the Invoice, all in HHK.
  4. A task checklist designed for new families has been added. Some houses conduct a needs assessment, background checks, or other tasks prior to accepting a family for the first time. We can now show a box in a Reservation and on Guest Edit, to track these items and then report on them in the Reservations Report.

 

The less big things:

  1. If you Retire a hospital or association that has no Visits assigned to it, it will delete the hospital/association. Effectively, this means if you accidentally create an association when you meant to create a hospital, you can delete it out and try again.
  2. When uploading a document during a Reservation, it doesn’t assign a guest to that document. Now, if you later access the Documents tab in Guest Edit, you’ll be able to assign a guest from that family group to the document.
  3. For notes that are automatically captured when you send a Confirmation Email, the note now includes the reservation dates, so it’s easier to tell which note corresponds to which reservation.
  4. In the Guests Checking Out tab of Housekeeping, you can now change it to show not just currently checked in guests, but guests who are still in a Reservation. This makes sense for houses with shorter-term stays, so they can also plan the next couple of weeks of cleaning, even for guests who aren’t checked in yet.

 

Small changes to reports:

  1. If Delayed isn’t one of your site’s options in the Out of Service dropdown menu, the column showing Delayed rooms no longer shows in the Room Report.
  2. In the People Report, if you select the Show Unique People option, the Arrival/Departure date columns don’t show. Now, we’ve added a Last Visit column, showing the most recent checkout date of that person.
  3. The Invoice Report now includes columns for Visit Start and End Dates.
  4. There is now a Billing Agent filter on the Payment Report, so you could easily find all the Payments from a certain billing agent in a given time frame.

 

Configuration:

  1. When setting up new users, the security group that was called “Maintenance” is now renamed to “Site/DB Maintenance” to better reflect that group’s role as the ability to change the framework of the HHK site.

 

Fixes

  • Guest invoices that are only partially paid (the guest exceeded their daily credit card limit, for example) now show in the Paying Today box with their own Partial Payments line. This line is added in to the Amount Paid-To-Date, correctly calculating how much is owed as of today.
  • For Guest Day rate model sites, the Mean Rate per Guest column in the Visit Report is now calculating all guests, correctly.

 

And of course, many minor improvements to processing, security, logging, and performance.
